Description, Compensation and Benefits:

Administrative Assistant duties and responsibilities include providing a range of administrative support activities to ensure efficient operation of the organization and services to members and clients. Supports the CFLCA team through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with organizational administration, practices and procedures. Ability to effectively communicate via phone, text, email, and other media ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. May help coordinate and lead the work of others. Rely on experience, judgment, and direction to plan and accomplish goals. Reports to executive director and receives instructions from managers and directors. This is a 32-40 hour per week (full-time) non-exempt and primarily remote position.

Qualifications and Job Requirements:

Responsibilities:
  • Answer and direct phone calls, emails, and other communications;
  • Enter time sensitive data to government websites and provide follow-up reports; Organize and schedule meetings and appointments;
  • Communicate in English & Spanish with members and clients;
  • Maintain and update contact lists;
  • Assist members and clients with FLC licensing applications and renewals;
  • Collect, prepare and distribute materials for quarterly board of director meetings;
  • Assist with production and distribution of services & products to members/clients;
  • Develop and maintain electronic file systems;
  • Create standard operating procedures; Take and distribute accurate minutes of meetings;
  • Develop and update administrative systems to increase efficiency;
  • Translate content from English to Spanish;
  • Assist managers and directors on other duties as assigned;
Requirements:
  • Fluently bilingual in English/Spanish written, verbal;
  • Knowledge of office management systems and procedures;
  • Ability to work independently and remotely;
  • Hold valid California drivers license and able to travel occasionally as needed;
  • Excellent time management skills and ability to multi-task and prioritize work;
  • Attention to detail and problem solving skills;
  • Excellent written and verbal communication skills;
  • Strong organizational and planning skills;
  • Proficient in MS Office – Word, PowerPoint, Excel;
  • High school diploma or equivalent; college degree preferred;
  • Proximity to Sacramento preferred;
